Whether the employee, or the employee's eligible dependent(s), is planning to begin orthodontia treatment or is in the midst of treatment, he/she may be able to receive reimbursement for the initial payment and/or monthly expenses. Flexible Spending Accounts are usually date-of-service oriented, but orthodontia expense may be reimbursed when you pay for these services to the orthodontist.

General rule of thumb, ortho claims are paid based on payment date (i.e. lump sum or monthly installments).
Initial Evaluation Fees:
Work done initially, such as molding, setting, record fees, consultation fees, etc., is reimbursable when incurred if this is not part of the monthly payment plan. This expense is not usually included in the total treatment cost for orthodontia. If these services were rendered during the current Plan Year, the employee will be eligible to receive reimbursement.
Down Payment:
When beginning orthodontia treatment, it is common for orthodontic offices to require a down payment on a service contract or financial agreement. These services are reimbursed when paid.
Monthly Payments:
The monthly liability for orthodontic services is reimbursable for each month during the current Plan Year on the date it was paid.
Full Advance Payment of Complete Orthodontic Treatment:
The liability for orthodontic services is reimbursable on the date the payment was made during the current Plan Year.
What to submit for orthodontic reimbursement:
  • Signed claim form
  • Receipt from provider with their name and address
  • Payment coupon or receipt and initial orthodontia contract
